Program — Send for Review
The Send for Review workflow now covers the full Program document, in addition to the individual Risk Assessment, Policy, and Process documents introduced in the 26th June release. A Compliance Officer can submit the complete AML/CTF Program for review and approval using the same workflow.
How it works:
1 |
Navigate to Firm > Program - Generate Program and select the items to generate the program. |
2 |
Select Send for Review from the document's action menu. This option is available when the document status is Draft, Approved, or Rejected. |
3 |
Select a reviewer and optionally add a message. Select Send for Review. |
4 |
The document status updates to Under Review. The reviewer receives an email with a direct link and all firm users are notified via the bell. |
5 |
The reviewer selects Approve or Reject. The document status updates and all firm users are notified. |
Interim Group CDD Tool
The Clients screen now includes an Interim Group CDD Tool for onboarding and initial customer due diligence. Use it to complete and record CDD now, while the automated CDD module is being built. It is modelled on your practice's onboarding and initial CDD form templates. You export the completed record to PDF and file it against your AML/CTF program.
Open it from the Clients screen in the left navigation.
What you can do:
- Work as a group. Use one file for a group of related clients — for example a family trust, its corporate trustee, an underlying SMSF and the individuals behind them — with a shared register so each person's details are entered once.
- Group scoping interview. Six questions that surface the entities and controllers to include before you build the entity list.
- Related parties register with screening. One card per person, recording ID verification, PEP, sanctions, adverse media and ASIC disqualification. A confirmed sanctions or adverse media match, or an ASIC-disqualified result, flags the person and prompts you to stop and escalate.
- Entities and key position holders. Add individuals and sole traders, trusts, SMSFs, companies and partnerships, with beneficial owners recorded against each entity.
- Entity-to-entity relationships. Record links between entities in the group, such as a corporate trustee of a trust.
- Risk assessment and CDD level. Assess each entity, with prompts to escalate where risk is high or an enhanced CDD trigger applies.
- Group risk summary and sign-off. A roll-up of every entity's rating, CDD level and review date, with preparer and reviewer sign-off.
- Entity diagram. Generates a structure diagram from what you have entered, with a UBO mode that highlights individuals meeting the 25% ownership or control test.
Saving and output:
- Save to Excel and Load from Excel to keep and resume your work.
- Print / Save as PDF for a static copy to file with your program.
- + Add entity to this group to build out the group.
Risk Assessment — Item-level risk ratings
The Generate Risk Assessment wizard now shows each of your firm's identified Services, Client Types, and Delivery Channels directly within their corresponding Risk Factors steps. Each identified item has its own risk rating dropdown, giving you a more granular view of risk at the item level alongside the overall risk factor assessment.
This applies across three wizard steps:
- Services Risk Factors — each service identified in the Identify Services step appears with an individual risk rating
- Client Risk Factors — each client type identified in the Identify Clients step appears with an individual risk rating
- Delivery Channel Risk Factors — each delivery channel identified in the Identify Delivery Channels step appears with an individual risk rating
Risk rating options:
| Rating | Indicator |
|---|---|
| High | Red background |
| Medium | Orange background |
| Low | Green background |
| N/A | Grey background |
Other things to know:
- Item-level ratings default to the risk factor's inherent risk rating and are not a completion blocker
- Ratings are informational only — they do not affect the overall Risk Assessment outcome or any aggregate risk score
- Items can be reordered within each Risk Factor step using drag and drop
- Custom items added via the Identify steps appear alongside default items
- Existing in-progress Risk Assessments have been updated automatically — each item rating defaults to the connected risk factor's inherent risk
Contact Support
You can now log a support request directly from within Firm Verify without leaving the platform. There are two ways to reach the support team:
From the navigation bar
A Contact Support option is available in the top navigation bar. Select it to open a support form, choose the area of the product your issue relates to, describe the problem, and submit. The BGL support team will follow up directly.
The problem area dropdown includes:
- Firm Profile
- Users
- Program
- Dashboard
- Settings
- Clients
From an error message
When an error occurs in Firm Verify, a Contact Support link is available directly within the error modal. Selecting it opens the same support form, pre-populated with context about the error where available.
