Overview
The Email Templates tab lets you customise the emails Firm Verify sends to recipients on your behalf. You can use the system-managed Master Template as-is, or create your own Custom Versions with a personalised name, subject line, and body.
Template Library
The left panel lists all available email templates in alphabetical order. Currently one template is available:
| Template | Description |
|---|---|
| Send for Review – Firm | The email sent when a risk assessment, policy, process, or program is submitted for review. |
Selecting a template in the library highlights it and loads its details and versions in the main content area. On page load, the first template (Send for Review – Firm) is selected by default.
Versions
Each template has a Master Template and can have one or more Custom Versions. The version marked DEFAULT is the one used when Firm Verify sends emails.
| Master Template | Custom Versions | |
|---|---|---|
| Managed by | BGL. Updates are pushed automatically when released. | You. Create, edit, and delete as needed. |
| Version name | System-determined — e.g. Send for Review – Firm [Master Template] | User-determined |
| Modified date | Not displayed | Shown as DD Month YYYY at H:MM AM/PM TZ by Full Name — e.g. 16 Apr 2026 at 1:55 PM AEDT by Sandra Jones |
| Default badge | Default on initial setup | Can be set as default via the actions menu |
| Available actions | View, Default | Edit, Default, Delete |
Version ordering
The Master Template always appears first. Custom Versions appear below it, sorted by last modified date — newest first.
Default badge rules
- Exactly one version must be marked as default at all times.
- Setting a new version as default automatically removes the badge from the previous default.
- If a Custom Version marked as default is deleted, the Master Template immediately becomes the default.
Adding a Custom Version
Select New Version + in the main content area to open the Add Email Template modal. The fields are pre-filled with the Master Template content as a starting point.
| Field | Required | Notes |
|---|---|---|
| Template Name | Required | Pre-filled with Send for Review – Firm [Custom Version]. 200 character limit. Must be unique. |
| Subject | Required | Pre-filled with the Master Template subject. 255 character limit. |
| Email Body | Required | Pre-filled with the Master Template body. 800 character limit. |
Modal buttons
| Button | Action |
|---|---|
| Save | Saves the new version if all validations pass. The Modified timestamp updates automatically. |
| Make Default | Saves the version and sets it as the default, replacing the previous default. |
| Cancel | If changes have been made, a Discard Changes confirmation appears with Keep Editing and Discard buttons. If no changes have been made, the modal closes immediately. |
Editing a Custom Version
Open the actions menu (⋮) on any Custom Version and select Edit. The Edit Email Template modal opens pre-filled with that version's current name, subject, and body.
The fields, character limits, validations, and buttons are identical to the Add Email Template modal. The Make Default button is disabled if the version is already the default.
Version Actions
Select the actions menu (⋮) on any version to see the available options.
| Action | What it does | Available for |
|---|---|---|
| View | Opens a read-only modal showing the template name, subject, and email body. Select Close to return to the Email Templates tab. | Master Template only |
| Edit | Opens the Edit Email Template modal pre-filled with the version's current content. | Custom Versions only |
| Default | Sets this version as the default. The previous default version loses its badge. Hidden if this version is already the default. | Master Template and Custom Versions |
| Delete | Permanently removes the Custom Version after a confirmation prompt. If the deleted version was the default, the Master Template becomes the default immediately. | Custom Versions only |
Frequently asked questions
Which email template is actually sent to recipients?
Whichever version has the DEFAULT badge. There is always exactly one default. If you have not set a Custom Version as default, the Master Template is used.
Can I edit the Master Template?
No. The Master Template is maintained by BGL and updated automatically when changes are released. To use customised content, create a Custom Version using New Version + and set it as the default.
What happens if I delete my default Custom Version?
The Master Template immediately becomes the default. Future emails will use the Master Template until you set another version as default.
Will BGL's updates to the Master Template affect my Custom Versions?
No. BGL updates only affect the Master Template. Your Custom Versions retain their saved content regardless of any changes BGL makes to the Master Template.
